OPEN VACANCY: ADMINISTRATIVE OFFICER - COMMUNITY SERVICES RECOVERY FUND PROJECT

Kenyan Canadian Association is seeking enthusiastic, passionate, and empathetic candidates for COMMUNITY SERVICES RECOVERY FUND project in our Toronto office.

Position: Administrative Officer

  • Compensation: $24.00 per hour; 35hrs per week + Health Benefits

Reports to: Finance & Administration Manager

The Administrative Officer will work closely with Project Team and other KCA officials to carry out their duties.

This position requires someone with high professional approach, use of tact, superior organizational skills, ability to work with minimal error under pressure, good judgment, initiative, flexibility, ability to deal in an effective and cooperative manner with a variety of people.

Duties and Responsibilities:

  • Receiving and forwarding telephone calls or electronic enquiries, sending and receiving messages Processing incoming and outgoing mail manually or electronically.
  • Organizing electronic and paper filing systems.
  • Monitoring dates for meetings, organizing meetings, and taking minutes at team meetings.
  • Preparing outreach and educational materials such as flyers for workshops and community events.
  • Assisting with basic accounting: managing petty cash and coordinating purchases.
  • Processing surveys, analyzing survey results and creating reports.
  • Drafting reports for senior management, funders, monthly statistics of project/program performance.
  • Supporting the creation of partnership agreements with community agencies.
  • Researching, compiling, and providing information to staff to assist in planning activities.
  • Assist in Human Resource and Payroll duties.
  • Assist in Fundraising and Resource mobilization.
  • Analyzing and recommending improvements to financial processes and procedures.
  • Determine and establish office procedures and routines.
  • Arrange travel and related itineraries.
  • Perform other administrative duties as required.

Qualifications and Requirements:

  • Degree or College Diploma in any business related field of study.
  • Knowledge of Microsoft Teams and Office 365 is a plus.
  • Proficient with Microsoft Excel skills (e.g. VLOOKUP, PIVOT Tables, Sum Formula)
  • Excellent analytical and organizational skills, with the ability to prioritize and handle multiple tasks and timelines.
  • Excellent written and verbal communication skills.
  • Ability to work both independently and within a team.
  • Demonstrate attention to detail and accuracy.
